Event - Leadership Overseas

The Brief: 

After rapid growth during lockdown, IMMO Capital wanted to hold its first ever whole company-wide offsite for 150 people. 

They not only required a venue that could accommodate this number of people with just 7 weeks turnaround time, they also required a venue that would be easily accessible for the team who would be travelling from the UK, Portugal, Spain, India, Germany and Canada. 

They wanted to find a hotel that had excellent conference facilities as well as the space to host a relaxed dinner on the first night and a gala dinner on the final evening. It was also going to be the first time that most of the team had met in person so it was really important for the right set up.

Key Challenges:

Short timescale. Due to the 6 week turnaround, we had a limited choice of venues and suppliers.The numbers of confirmed delegates fluctuated significantly  

Our Approach:

We approached every single one of our contacts to find a hotel that would fit the requirements and that also had availability for a large group at such short notice. The majority of places were fully booked due to short turnaround time and hitting the holiday season, however, after a lot of searching our partner Avenue Sales helped us to locate the perfect venue, Ria Park Hotel. 

Once the venue had been booked, we had just over 1 month to turn around the rest of the event. We took care of every single aspect from sourcing AV, to entertainment, to decoration, to finding local activities. We worked with a local DMC and also liaised with local suppliers to ensure the best quality. 

Each element of the event was carefully planned, such as ensuring varied menus to cater for all dietary needs to sourcing local suppliers to create a traditional cork mouse pad with the clients branding to be gifted to all guests. 

We organised for our team to fly out in advance to ensure everything was set up and we then stayed on site for the entire event, ensuring everything was seamless.  

The Results:

Upon arrival guests were greeted with a name badge and agenda, they then enjoyed a traditional Portuguese lunch on the hotel's terrace. This was followed by lots of group sessions and group photos sporting their new hoodies they had received in their gift bags. In the evening the guests enjoyed an intimate poolside BBQ with live music and festoon lighting.

Day 2 started with a guided bird walk, followed by a morning of team building activities in the hotel. In the afternoon we took guests to the Quinta Do Canhoto winery, where they enjoyed lunch and a wine tasting in the beautiful Portuguese vineyards. In the evening, we organised cocktails and canapes on the panoramic terrace with live music, followed by a 3 course dinner. The night finished with a DJ and live saxophonist and dance floor. 

The clients had a fantastic time. The feedback was brilliant.
