Start with a Venue That’s Serious About Their Impact
Pick venues that are energy-efficient and well-connected to public transport. You could also even incentivise public transport or shared rides. Maybe offer a prize for the greenest commute?
You can also consider outdoor spaces when the weather is right. With natural light and fresh air, you would need less electricity. Many venues also come with their own green credentials. Make sure to investigate this.

Waste Not, Want Not Your Food
Ditch disposable everything. Reusable glasses, plates, and cutlery look and feel better anyway. Plant-based bites are trending (and delicious).You can also work with caterers who serve local, seasonal food.

Dazzling Tech, Lower Impact
There are many ways that tech can help lower your impact. Switch to LED lighting and efficient sound systems, Use digital screens instead of printing massive banners, and create a killer event app. No more paper programmes, business cards, etc. Plus, you can experiment with immersive VR, or have a hybrid online-offline event to reach more people.
Do You Really Need That Much Swag?
Giveaways don’t have to be destined for the bin, but they often are if they are cheap, uninspired, and feel like a waste of space. Think reusable water bottles, plants, or charity donations in attendees’ names. Functional swag will be more likely to be used and kept out of landfills. And instead of getting so much merchandise, one or two really impactful and expensive merchandise – such as a custom letterman jacket, or a sustainable chocolate box that spells out attendee’s names, etc – would really change the game. If you’re handing out branded merch, also make sure it’s practical and sustainably produced.
Show Off Your Green Wins
Be proud of the steps you take. Share them on your socials, in press releases, or during the event itself. You can display “Sustainability Stats” on screens (e.g., “You helped divert 500kg of waste!”), use hashtags to rally attendees around the cause, and send out a feel-good recap email celebrating your collective impact.
